One system for every department
K-Afya is made up of connected modules. A clinic can start with the front office, outpatient, laboratory and pharmacy; a hospital adds inpatient, radiology, stores and the full accounts. Every module shares the same patient record and the same books.
Front office
Where every visit begins and every bill is settled.

Registration and triage
Register patients once with a unique number, record vital signs and assign one of five triage levels. Import existing patient records in bulk.
Queue management
A live queue for every department, with waiting times and where each patient goes next. It can be shown on a screen in the waiting area.
Billing and payments
Automatic invoicing for every service, with cash, M-PESA, bank and credit payments, printed receipts and controlled reversals.
Insurance and SHA
Register patients under insurance schemes or SHA, bill the scheme and follow each claim until it is paid.
Clinical care
Everything the clinician needs in one place, with the full history a click away.

Outpatient
Chief complaints, history, examination, ICD-10 diagnosis and allergies, then the next step: tests, prescription, procedure or discharge.
Inpatient
Admissions, wards and beds, treatment and care records, ward charges and discharge.
Nursing
Nursing services and procedures such as dressings, injections and nebulization, with their own lab and pharmacy orders.
Electronic medical records
Every visit in one record: vital signs, notes, diagnoses, results and prescriptions, plus scanned documents.
Diagnostics and therapy
Requests arrive paid and ready; results go straight back to the clinician.

Laboratory
A queue of paid requests, results entered against each parameter’s reference range and flagged low, normal or high.
Radiology
Imaging requests with report templates for findings and impressions that the radiologist edits for each patient.
Physiotherapy
Therapy queues, session results and activity reports.
Test catalogue
Your own tests, prices, parameters, normal ranges and units, all maintained by your staff.
Pharmacy and stores
Every unit accounted for, from the supplier to the patient.

Pharmacy
Prescriptions arrive from the clinician; drugs are dispensed after payment and stock is deducted automatically. The pharmacy can also run on its own.
Inventory
Suppliers, items, re-order levels, expiry alerts, stock adjustments and stock takes.
Purchasing
Purchase orders, receiving against the order, and transfers from the main store to the pharmacy.
Stock reports
Stock valuation by location, cost of sales, fast-moving items and the full movement history of any item.
Finance and accounts
Books that keep themselves up to date as the facility works.

Accounts
Chart of accounts, cash book, general ledger, trial balance, profit and loss and balance sheet.
Expenses
Expenses, payment vouchers, petty cash and journal vouchers, each approved by a second person.
Control
Bank reconciliation, inter-account transfers, day close by cashier, creditors and debtors ageing.
Budgets
Budgets by account and a comparison of budget against actual.
Management and compliance
Oversight, reporting and control for the people responsible for the facility.

MOH reports
MOH 204A and 204B outpatient registers, MOH 240 laboratory register, prescriptions and patient registers, and the MOH 717 workload summary.
Users and permissions
Groups for each role, with read-only or read-and-write access to each page. Suspend an account in one step.
Audit trail
A permanent record of every user’s activity, searchable by user and by date.
SMS messaging
Bulk and individual SMS to patients and staff, with delivery reports.
